This Privacy Policy explains how and why we collect, store, and use data through the Phonic ID platform.

We act as a data processor on behalf of schools using our service. Each school acts as the data controller and can customise what information is collected from pupils.


2. What Information We Collect

Phonic ID is used in schools to help identify trends and support pupils who may need targeted support in early literacy skills.

Information is only collected with the school’s approval. The school decides exactly what student information is collected.

The standard data we collect from pupils to best indentify students that need support or wider trends across the school is:

  • Name (first name or full name)

  • Class

  • Year Group

  • Gender

  • Phonic ID Screening Results

A school can either send a link to a parent to sign up their child, have the pupil fill out their details themselves, or a staff member can import these details. 

We do not collect sensitive personal data (e.g., ethnicity, disability status) unless a school explicitly adds this via a custom setup.


3. How Pupils Log In

Pupils or staff may access the platform using one of the following login methods:

  • Username + password

  • Email + password

  • Google SSO

  • Microsoft SSO

With SSO logins, we store the users email address associated with their Google or Microsoft account to facilitate the authentication process.


4. How We Use the Data

We use data to:

  • Facilitate secure authentication for staff and pupils
  • Support schools in monitoring pupil progress

  • Identify trends across classes or year groups

  • Help teachers target interventions more effectively

  • Maintain and improve platform functionality and security

5. Subprocessors and Hosting

Phonic ID uses Google as our only subprocessor. Google provides us with:

  • Secure authentication

  • Real-time data syncing

  • Data encryption and storage

Google Firebase is fully GDPR-compliant and hosts data in secure, encrypted formats.


6. Who Has Access to Data

  • The Pupil: Has access only to their own data
  • School Staff: Full access to view other staff members within their school, and pupil data only within their school.

  • Phonic ID (Be World Class Education Ltd): Only support staff with permission to respond to school queries

  • Google: Stores, hosts and encrypts the data

We do not share data with third parties beyond this list.


7. Data Retention

Data is retained only for as long as the user has an active account. Upon request, or after account closure, all student data is securely deleted.


8. Student Privacy Rights

Where applicable, students or their guardians have the right to:

  • Access their data

  • Request correction or deletion

  • Object to processing

  • Withdraw consent where applicable

All such requests can be made via the school, or by contacting us directly.
